“Everyone” Menu Security Group Overview
We have recently made changes to our security group options when creating/modifying users to accommodate the new read-only access permissions. As a result, you will now see an “Everyone” group in the Security Groups dropdown on the user management screen. By default, when a new user is created, the “everyone” security group will be automatically selected.
Existing Users
The “everyone” security group is a menu security group and not a region/district/mobile ticket access permission group. Most existing users were assigned to the “everyone” security group by default as this is the most basic menu security group for non-read-only users of KorTerra Ticket Management. This security group has always existed but was hidden from admins when creating new users as users were automatically assigned to that group. The “everyone” group should continue to be selected for users.
New Users
When creating a new non-read-only access user, the “everyone” menu security group will be selected by default and should remain selected by default in order access basic menu options in KorTerra Ticket Management. Additional security groups can and should be selected to further define the user’s access to the appropriate ticket scope.
Read-Only Overview
KorTerra has introduced a new feature which allows customers to set up users with read-only access.
This is helpful especially for contract locators who locate tickets on behalf of facility owners. Our customers have requested the ability to offer a read-only view to allow facility owners limited access into the customer’s KTM system. This allows the facility owner to review tickets that are being located by the contract locator who uses KorTerra Ticket Management.
The user’s read-only access will be configurable to restricted tickets by Member ID. If users have read-only access to the ticket, they will be able to view the full ticket and all completions on the ticket. If there are multiple facilities on the ticket (including those from other members) the user will have read-only access to all ticket data and all completions on the ticket. The ticket view will not be limited to only the specific member information as the user is granted read-only access at the ticket level based upon the ticket including their Member ID.
The read-only user security group is configurable. Typically, this user security group would be setup to grant access to only a few specific areas of the system including the dashboard (KorTerra homepage) and Ticket Management to allow the read-only users to search for the tickets they have been granted access to. Users will be restricted from all other areas of the system.
Read Only Configuration
Add Member:
If needed, setup new Member(s):
Go to: Maintenance > One Call Center > Member.
Add new MemberID(s) using the “+Add” button.
Create new MemberID(s).
Create User (OperatorID)/Member pairings:
Member Access is used to maintain the Members that are associated with a User to restrict what tickets are returned when the User does a search. This configuration is used to limit a User’s search results to only those tickets containing the specific Member ID’s that the user has been tied to.
To set up a pairing:
Maintenance > User > Member Access
Add new Operator/Member pair(s) using the “+Add” button
Pair Operator ID with the Member ID(s) the User should have access to.
Read Only User Management
By default, when new users are created, they are added to the “Everyone” security group. This is the security group that most end users of the system are added to in order to grant access to standard functions and areas of the system. However, all customer accounts now have a new “MEMBERREADONLY” security group option available.
When setting up a user for read-only access, you need to ensure the user is removed from the “Everyone” security group as this would grant the read-only user more access than intended.
At the time of user creation, you can remove the user from the “Everyone” and assign them to the new “Read-Only” group.
If the user already exists, you need to edit the user to remove the “Everyone” group and add the “Read-only group”
To set up a new user:
Go to: Maintenance > User > User
Select the “+Add” button to add a new User or select an existing User to edit.
Ensure the User is only assigned to the “Read-Only” security group, and removed from the default “Everyone” security group.
